Booking and lead times
Booking, Dates and Lead Times
How far in advance should I book?
For an ordinary date, two or three weeks is usually enough. For the Feria, May, June and September weddings, Christmas and key weekends, the sooner the better: that's when equipment across the whole province runs out. We go into detail in this guide.
How do I book the date?
By accepting the quote in writing. From then on, the equipment is reserved for your event.
Can I change the date?
If you let us know in good time and we have availability, yes. The specific terms are always stated in the quote.
Do you rent for a single day or for several days too?
Both. For multi-day set-ups transport is done once and the daily rate goes down.
Can you work at short notice, from one day to the next?
Sometimes, yes, if there is equipment available. Call us rather than writing: for urgent requests the phone is quicker.
Set-up
Set-up, transport and technician
Is set-up included?
Yes, transport, set-up, sound check and take-down are included unless the quote says otherwise. A technician who stays during the event is always quoted separately, as a line item of its own.
Can I set it up myself?
For simple systems, yes: we leave it set up, tested and explained. For line arrays, truss, stages or any work at height, we do the set-up ourselves for safety and insurance reasons.
When do you arrive to set up?
With enough time to test without rushing. We agree it in writing and we stick to it: arriving at the last minute is the number one reason an event gets off to a bad start.
Do I need a technician at my event?
If there is a live band, several microphones, speakers passing the mic around or a live stream, yes. At a party with recorded music, usually not. We'll tell you honestly even if it means a smaller invoice for us. For line arrays, concerts, congresses, live video production, streaming and simultaneous interpretation it is essential, so in those set-ups it is always part of the proposal, even though it still appears as a separate line item.
Until what time do you stay?
Until the time agreed in the quote. If the event runs over, overtime is charged, but we never leave you without sound.
Equipment
Equipment, power and backup
How much power do I need?
It depends on the audience size, the space and the type of music. It's the most frequently asked question and the one least well answered with a single figure: we explain it step by step in this guide.
What brands do you use?
We work with professional equipment from well-established industry brands for sound, microphones and DJ gear. Every quote states the exact make and model of what you will receive.
Do you bring spare equipment?
For events where failure is not an option, yes: we duplicate microphones, cabling and all critical components.
What happens if something breaks down during the event?
If a technician is on site, they fix it on the spot using the backup equipment. If not, our phone line stays open throughout your event.
Is the equipment suitable for outdoor use?
Yes, but electrical equipment is never set up exposed to rain without protection. If your event is outdoors, we agree a plan B well before the date, not on the day itself.
Permits and regulations
Noise, permits and SGAE
Is there a decibel limit?
Yes, and it depends on the municipality and the type of venue. In many cases there is also a time limit. We summarise it in our guide to noise regulations.
Do I need a sound limiter?
In venues licensed for music it is usually mandatory. For one-off outdoor events it depends on what the local council requires. We explain it here.
Do you handle the permits?
No. Permits and licences must be applied for by the event organiser, as they are issued in their name. What we do is tell you what you will be asked for and provide the technical details of the equipment you need to submit.
Do I have to pay SGAE (music royalties)?
If there is music and the event is not strictly private, usually yes. We summarise it in this guide.
Invoicing
Payments, deposit and invoice
Do you issue invoices?
Always, with VAT shown separately. We are a registered company and work in exactly the same way with private clients, businesses, local councils and brotherhoods (hermandades).
Do you ask for a deposit?
Only for rentals without a technician, when the equipment is in your care. It is stated in the quote.
How do I pay?
A booking payment when you confirm the date and the balance before or on the day of the event, unless different terms have been agreed with companies or public bodies.
Can I cancel?
Yes, under the terms set out in the quote. The sooner you let us know, the lower the cost for everyone.
Still have questions?
Tell us about your event and we will tell you what you need, even if it is less than you expected.
