Formats and how they sound
Four corporate events that are never set up the same way
A corporate event differs from almost every other kind in one respect: someone has something at stake in front of an audience that has given up its time to be there. That is why there is zero margin for error.
Product launch
One speaker, one screen and a video that has to roll at exactly the right second. Headset microphones are usually used to keep hands free, the image takes priority over the sound, and the video audio must play through the same system at the same level as the voice. What we prepare beforehand: the LED screen or the projector, the order of sources and a full test of the video with sound.
Press conference
What matters here is that the press leave with clean audio. We set up table microphones and, above all, a press distribution box so every camera and recorder can plug into a direct feed instead of putting its own mic on the table. Clear voice, no background music and a handheld channel for questions from the floor.
Convention and internal company day
A scaled-down conference format: several talks back to back, team activities and often a corporate video. It needs a multi-channel mixing desk, wireless microphones for the audience and someone on the controls throughout. If attendees are joining remotely, we add streaming.
Company dinner and awards ceremony
The tone changes, the rigour doesn't. You need background music spread across the room at conversation level, a wireless mic for the director's speech, a spare mic for the host and, if there is an awards ceremony, projection of the winners' names. Afterwards, if there's dancing, we switch to a set-up with a DJ booth and lighting.
Prevention
The backup laptop and other boring things that save the event
A second computer with the presentation loaded
If the speaker's laptop decides to update five minutes before going on, another one is ready with the same file and the same output resolution.
A tested backup microphone
A charged bodypack and a handheld mic switched on and muted on the control desk. It almost never gets used, and the day it does, it's worth the whole event.
Video connection with adapters for everything
HDMI, USB-C, mini DisplayPort. Every speaker arrives with a different laptop and none of them brings their adapter.
Full test with the actual video
Seeing that the picture comes up isn't enough. The whole video has to be played with sound to check levels and make sure nothing jumps halfway through.
A polished brand image
Tidy cabling, aligned speakers, a clean lectern and the screen showing the corporate background before anyone walks in.
A single point of contact during the event
The sound technician talks to the event manager and nobody else. Five people giving different instructions is the fast track to disaster.
Typical equipment
What to rent for a corporate event
The list changes little between formats: voice, image and some music to accompany it. What changes is the size and the number of channels.

If your event is longer or more formal
When the day grows to several rooms, it becomes a conference. When there are dignitaries and protocol, it is closer to an institutional event. And if the event is a stand at a trade fair, see sound for trade fairs and stands.

Frequently asked questions
What companies and agencies ask us
Do you work with event agencies as a technical supplier?
Yes. We handle the technical side of the set-up and coordinate with the agency's production team: access times, room plans and the needs of each segment. If needed, we do a technical site visit with you beforehand.
Can you put the company logo on the screen?
Yes, as long as you send us the file in advance and in the correct aspect ratio. We have it up before the doors open, which is when most of the photos are taken.
How long does it take to set up a presentation in a hotel function room?
A simple sound and projection set-up needs a couple of hours before doors open, plus time for a test with the speaker. If there's an LED screen or a structure, more time is needed and it's usually set up the day before.
Do you provide clean audio for the press at a press conference?
Yes. We install a press distribution box with several outputs so each TV or radio crew can connect directly, instead of piling handheld mics on the table.
Do you stream the event for those who can't attend?
Yes, with streaming, and if the event warrants it, with several cameras and live video production.
Do you issue invoices in the company's name with VAT itemised?
Yes, and we can send the initial quote in whatever format your purchasing department requires.
